FSMQC expects every trainee to contribute to a safe, respectful and honest learning environment. This code applies to individual and sponsored trainees during classroom, practical, off-site and online training, assessments and related communications. Read it before training and complete Acknowledgment 1.1.4.3 after the briefing.
Attend the full required teaching time unless the regulator or awarding body formally permits another threshold, as recorded under Attendance Policy 1.1.1.1. Arrive prepared, return promptly from breaks and participate constructively. Record actual arrival and departure times and sign personally; proxy signing is prohibited. Notify the trainer of absence or early departure. All missed teaching time is recorded; lateness is not an automatic allowance. Approved make-up and certificate eligibility follow the attendance and assessment rules.
Treat trainees, trainers, staff and visitors with dignity. Discrimination, harassment, bullying, threats, violence and retaliation are prohibited. Respect cultural differences, listen without disruption and give constructive feedback. Dress appropriately for the activity and wear required identification and protective equipment. Keep phones silent and use them during sessions only with permission. Maintain professional boundaries; do not offer gifts, favours or personal influence to obtain an unfair advantage.
Provide accurate identity, registration, qualification and financial information. Submit your own work, acknowledge sources and contribute fairly to group tasks. Cheating, plagiarism, impersonation, falsified attendance or results, and unauthorised collaboration are prohibited. Follow the announced assessment conditions, including rules on devices, online tools and artificial intelligence. Seek clarification before using assistance. Certificates depend on the applicable attendance and assessment requirements; enrolment or a signed acknowledgment alone does not establish eligibility.
Follow the venue safety briefing, hygiene rules, emergency instructions and authorised staff directions. Use equipment only as instructed and with the required supervision. Report hazards, injuries, damage and unsafe behaviour immediately to the trainer or responsible staff member. Stop an unsafe activity and follow the emergency procedure; do not wait to complete a form. Keep exits clear, protect property, secure personal belongings, dispose of waste correctly and conserve materials, water and energy.
Protect personal, client and assessment information. Keep accounts and passwords private, use authorised systems and software, and report suspected misuse. Obtain permission before recording sessions, photographing people or sharing training content. Use materials for the agreed learning purpose and respect copyright and confidentiality. Do not distribute, sell or publish proprietary materials, misuse the FSMQC name or logo, or impersonate staff. These rules also apply to online sessions, messaging and social media.
Follow the accepted registration and payment terms and retain receipts. Cancellation, course changes, deductions and refunds follow Policy 1.1.2.1; they are not automatic disciplinary penalties. Provide truthful information for any financial assistance and use it only as agreed. Keep contact details current and check course communications. Ask the Training Manager for learning or accessibility support; report concerns to the trainer, the Training Manager or the HR and Administration Manager through info@fsmqc.com. Staff arrange suitable support within available and programme-approved arrangements.
You may raise a concern in good faith without retaliation. Sensitive concerns may be taken to an uninvolved manager; use the Complaint and Appeal Procedures where a formal review is needed.
Responsibilities awareness and fair review
| Responsible role | Responsibility |
|---|---|
| Training Manager with IT responsibility | Designated responsible representative. Implements the code, authorises briefing staff, resolves training questions and checks awareness-record completion. |
| Assigned trainer or the Training Manager’s nominated staff member | Conducts the briefing, checks understanding, answers questions, witnesses the trainee’s acknowledgment and reports concerns. |
| HR and Administration Manager | Checks form completeness, logs acknowledgment status and maintains the controlled trainee and course records. |
| Deputy General Manager and Accounting Manager | Reviews unresolved administrative matters, overdue actions and financial implications; coordinates uninvolved substitutes where needed. |
| Academic Director | Approves the code and serious disciplinary outcomes within authority, ensuring a fair review and access to an independent appeal. |
The Training Manager ensures the code and related policies are provided before training. The assigned staff member explains them in a language and manner the trainee understands, identifies the reporting contacts and allows questions. Complete Form 1.1.4.3 only after clarification. Record the briefing date, language, policy versions, staff name and signatures. Provide a copy to the trainee. Record any support or required parent/legal representative involvement; a sponsor’s signature does not replace the trainee’s acknowledgment.
The trainer records the facts and informs the Training Manager promptly. The Training Manager, or the Deputy General Manager and Accounting Manager if the Training Manager is involved, appoints an uninvolved, competent reviewer to examine the evidence and give the trainee a fair opportunity to respond before a final decision. Record conflicts and appoint substitutes. Urgent removal or suspension may protect safety or evidence; record the reason, responsible manager and review date. It is a temporary measure and does not decide the allegation.
Outcomes must reflect the evidence, seriousness, impact and relevant history. They may include advice, re-briefing, a warning, an improvement agreement, temporary suspension or termination of enrolment. The Academic Director or authorised uninvolved substitute approves suspension, termination or any future-enrolment restriction after review. Assessment sanctions follow programme rules. Do not impose an automatic ban or withhold a certificate for an unrelated conduct concern.
Give a written decision with findings, reasons, action, duration or review date, and appeal instructions. Use Complaint Procedure 1.1.3.1 and Appeal Procedure 1.1.3.2. Normally submit an appeal within five working days of receiving the written decision. The Training Manager chairs only when uninvolved; no original investigator or decision-maker may review their own case. Internal deadlines do not limit applicable statutory or awarding-body rights.
The HR and Administration Manager links signed acknowledgments to registration and course records and follows up missing forms with the Training Manager. Retain them for at least five years from course completion. Complaint and appeal files follow their seven-year retention rules; apply any longer requirement or open-case hold. Restrict access, preserve dated corrections and back up securely. The Training Manager checks each cohort; the Engineering Manager reviews trends and corrective actions quarterly. Review the code annually and re-brief trainees on material changes.
